Privacy policy

This Privacy Policy explains how RaceZen collects, uses, shares, retains, and protects personal information when sailors, race officials, clubs, guardians, coaches, and spectators use RaceZen apps, websites, cloud services, race tools, tracks, replays, and related services.

Who We Are and Who Is Responsible

RaceZen Pty Ltd (ABN 90 698 675 946), a company incorporated in Australia, provides sailing race-management, tracking, and boat-device software. In this policy, “RaceZen”, “we”, “us”, and “our” refer to RaceZen Pty Ltd.

RaceZen is responsible for personal information used to provide accounts, security, support, product operations, diagnostics, and RaceZen-controlled services. A club or event organiser is responsible for the competitor, entry, sign-on, race-management, official-result, and publication records it controls. RaceZen processes those records to provide the service to that organisation.

Information We Collect

Depending on the features you use, RaceZen collects:

  • Account and contact information, including name, verified email address, phone number when supplied, country, account identifier, sign-in sessions, passkey-related account records, and consent history.
  • Sailing and event profile information, including date of birth or age band, gender or sailing classification, club, team, country, emergency contact, boat name, boat class, sail number, fleet, entries, sign-on records, results, protests, notices, and race-committee messages.
  • Precise location and sailing telemetry, including time, position, speed, course over ground, heading, heel, track, mark, start-line, course, and race-position data.
  • Heart-rate data when you connect a supported sensor or Apple Health and turn on heart-rate sharing. Shared heart rate may appear live and in uploaded tracks or replays. RaceZen does not write data to Apple Health.
  • Device and diagnostic information, including device identifiers, device capability, app version, network and relay state, GNSS quality, GPS diagnostics, logs, crash or performance information, upload diagnostics, and diagnostic replay files.
  • Community and sharing information, including club or group membership, invitations, roles, coach or squad sharing, guardian links, public share links, reports, moderation actions, and the people or groups permitted to view shared sailing activity.
  • Content you submit, upload, or publish, including profile images, photographs, videos, documents, comments, support messages, and other race or community content.
  • Subscription, entitlement, entry-fee, payment-status, and transaction-reference information when a paid feature or event uses it. Payment providers and app stores process payment-card or account details under their own privacy terms; RaceZen does not receive complete payment-card details.

Medical notes and media selected on your device stay on that device unless you choose a feature that uploads or shares them. RaceZen does not access your address book, sell personal information, use advertising identifiers, or track browsing or search history for advertising.

How We Use Information

We use personal information to:

  • Create and secure accounts, remember consent, manage entitlements, and provide support.
  • Operate race setup, registration, sign-on, safety, race control, scoring, results, tracking, replay, coaching, guardian, group, public-sharing, and spectator features.
  • Route live race data to the relevant race, club, group, guardian, or viewer and preserve event records selected by organisers and participants.
  • Diagnose device, app, GNSS, network, cloud, and race-operation problems; prevent abuse; and keep the service reliable and secure.
  • Communicate service, safety, account, policy, and transaction information. With your separate opt-in, we also send product news, notice of new or nearby regattas and events, offers, and discounts. Every one of those messages identifies us and carries an unsubscribe link, and you can opt out at any time without affecting your account or your entries.
  • Develop, test, debug, and improve RaceZen, including its positioning, GNSS, start-line, scoring, and race-analysis features, and train and validate the statistical and machine-learning models used in those features.
  • Create statistics, benchmarks, research outputs, and promotional material, including demonstrations, replays, screenshots, and case studies that show how RaceZen works.
  • Meet legal obligations, resolve disputes, enforce agreements, and protect people, events, RaceZen, and the public.

Development, model training, and promotional material use de-identified sailing and telemetry information, unless you have given consent or the information is already published as part of a public event.

Heart-rate and other health information, and information read from Apple Health, are never used for promotional material or model training, at any age.

Promotional material may show a public event as it was sailed, including fleet views, course maps, and replay images in which a junior sailor’s boat and sail number appear alongside others. We do not build promotional material around an identified junior sailor — featuring one, naming one, or presenting one sailor’s performance as the subject — without a guardian grant recorded in the app.

Heart-rate and other health information is sensitive information. We collect, use, and share it only with your express consent, given by turning on heart-rate sharing, and you can withdraw that consent at any time by turning the setting off.

Depending on local law, we process information to perform our agreement with you, with your consent, to comply with legal obligations, and for legitimate interests such as service security, support, event integrity, product development, and research. You may withdraw an optional consent at any time, without affecting processing that occurred before withdrawal.

When Information Is Shared

Race information is shared according to the feature and event context:

  • A race committee and event organiser can receive the profile, boat, position, telemetry, entry, sign-on, protest, and result information needed for an event you join or sign on to.
  • Live positions, race status, results, and selected event information may be visible to sailors, officials, clubs, spectators, or anyone with an event code when the event is operated as a public event.
  • Tracks and telemetry reach a coach, squad, club, or other group when sharing is enabled for that group. A group or regatta copy may remain part of its records after you leave or stop sharing.
  • A guardian can view a junior sailor through an active guardian link. Public share links disclose the information shown by the link to anyone who receives it until the link is disabled or expires.
  • Content posted to a public or shared area is visible to that area’s audience and may be copied or downloaded by them.

We also share information with infrastructure, authentication, email, support, app-store, payment, and professional service providers that need it to perform services for RaceZen. These currently include Amazon Web Services for cloud hosting, database, and authentication; Resend for email delivery, which sends our sign-in codes and event email from servers in Ireland and is a United States company that stores message metadata and delivery logs in the United States; Cloudflare for the live race relay and content delivery; OpenStreetMap tile servers, which receive the map area a device displays; and Apple and Google for app distribution, in-app purchase, and platform services. This list changes as the service changes. We may disclose information when required by law, to protect safety or rights, during a business reorganisation, or with your direction or consent.

RaceZen does not sell personal information or use it for third-party advertising tracking. We may share aggregated or de-identified information that is not reasonably capable of identifying a person.

International Processing

RaceZen and its service providers may process information in Australia, Ireland and other parts of the European Economic Area, the United States, and other countries where the service or its global network providers operate. Live race traffic is carried by a global edge network and may be routed through the edge location closest to a device. Privacy laws in those places may differ from those in your country. Where information leaves the European Economic Area we rely on the European Commission’s Standard Contractual Clauses with the receiving provider, together with organisational and technical protections appropriate to the transfer. Our email provider is a United States company: it sends from Ireland, but stores message metadata and delivery logs in the United States under those clauses. We provide applicable transfer information on request.

Retention

We keep personal information only for as long as needed for the purposes described above:

  • Transient race-session records are generally kept for up to 14 days, device-state records for up to 30 days, and sign-on logs for about 90 days.
  • Deletion, security, and service-integrity records may be kept for up to 180 days or longer when required to establish, exercise, or defend legal claims.
  • Account profiles, consent records, results, group records, and uploaded content are kept while the account, event, group, or sharing feature remains active, then deleted, de-identified, or retained where a legal, safety, fraud-prevention, or official event-record requirement applies.
  • Sailing tracks and telemetry are kept indefinitely for the product, safety, research, and development purposes described above.
  • When an account is deleted, or a track is deleted, RaceZen de-identifies the associated sailing and telemetry records rather than erasing them, where it is lawful to do so, and keeps the de-identified records indefinitely. Those records no longer identify you and are not linked back to your account.
  • Local profiles, tracks, media, settings, and passkeys can remain on a device or in its operating system after cloud account deletion and must be removed using the app or device controls.

Backups and cached copies are removed on their normal rotation. Aggregated and de-identified information is retained indefinitely because it no longer identifies a person. Where the law gives you a right to erasure of information that still identifies you, we honour that right; indefinite retention applies to de-identified records.

Your Choices and Rights

Account and sharing settings let you manage optional heart-rate sharing, group access, public links, marketing, and other permissions. Some core event and service functions require location, device, account, or race information and will not work if that information is unavailable.

Depending on where you live, you may request access, correction, deletion, restriction, portability, or objection, and may complain to a privacy regulator. To exercise a right, email privacy@racezen.app. We may need to verify your identity and may ask an event organiser to act on records it controls.

You can delete a signed-in account from the app. Instructions for account and data deletion, including requests when you cannot sign in, are available on the Delete Your RaceZen Account page. Official results, safety records, organiser records, copies shared to groups or events, downloaded exports, and records required by law may not be deleted with the account.

The required account agreement records that you accepted the Terms of Service and consented to the service-data processing described in this policy. RaceZen records the policy version, time, method, and whether the agreement was granted or withdrawn. Marketing is a separate optional choice. When material terms change, signed-in users are asked to review and accept the new version; earlier consent records remain in the audit history.

Children and Junior Sailors

RaceZen may be used by junior sailors only with the involvement and permission required from a parent, guardian, club, school, or event organiser under applicable law. Adults and organisations that create or manage a junior’s profile must have authority to provide the information and must give the junior appropriate notice.

Date of birth and age-band information can be supplied by a sailor or organiser and is not identity verification. Public sharing for a profile identified as belonging to a minor requires a guardian grant in the app. Guardians and organisers should review sharing, event visibility, emergency contact, media, and safety settings with junior sailors.

Security

We use administrative, technical, and organisational safeguards designed for the nature of the information, including access controls, encrypted network transport, account authentication, and service monitoring. No networked service can guarantee absolute security. Contact privacy@racezen.app if you believe an account or data has been compromised.

Changes and Complaints

We may update this policy as RaceZen changes. The date above identifies the current version. We will provide reasonable notice of material changes through the service, website, email, app-store, or event channels and request renewed acceptance where appropriate.

Send privacy questions or complaints to privacy@racezen.app. We will acknowledge and investigate complaints and aim to respond within 30 days. If you are not satisfied, you may contact the Office of the Australian Information Commissioner or the privacy regulator in your country.

Use of RaceZen is also governed by the Terms of Service.
